Many businesses aren’t prepared to deal with a disaster. And unfortunately, many kinds of  disasters close small businesses for good every year. If you can’t maintain contact with your customers through the worst times, your company could be in jeopardy.

According to the Federal Emergency Management Agency (FEMA), nearly 40 percent of small businesses that experience a disaster never reopen. And 90 percent of small businesses fail within a year after a disaster unless they can start operating again within five days.

So how should you approach disaster recovery?

Disasters can affect a business in many ways beyond the physical losses an office may experience. Your business may miss phone calls and other communications, lose important data, or suffer a hit to its brand reputation if you cannot effectively support customers as they suffer through the same catastrophe.

Putting a business continuity and disaster recovery plan in place can limit many of these dangers and ensure that your business will continue to operate as close to normal as possible after a catastrophic event takes place.

An effective disaster recovery plan should have procedures for dealing with the difficulties of a disaster and getting the company back on its feet fast. It should be developed and implemented by executives, technology staff, and other important stakeholders, and will likely involve the use of outside platforms and software to maintain uptime and protect data.

FEMA outlines several areas that need to be considered in a disaster recovery and business continuity plan:

  • Protecting records, whether digital or physical, including employee records, contracts, and insurance policies.
  • Technology redundancy, including power, software licensing keys, serial numbers, installation disks, and equipment.
  • Emergency supplies for physical disasters, including a first aid kit, cash, water, and non-perishable food like energy bars.

It’s also important to create an emergency evacuation plan and a procedure for notifying employees and other parties about the status of the office and other special steps being taken.

Even though an office may be shut down by the disaster, it’s essential to maintain communications and make sure you can field phone calls from customers who may be suffering from the same event and need support. You should have a system in place to ensure that phone calls are still able to come in and be routed to unaffected offices, remote employees, or back-up phone systems. It’s crucial that communications be able to continue or at least be picked up quickly upon restart of business, or it will be difficult to recover.
